You may want to manage your own personal distribution list for groups that you will need to e-mail more than once. When sending your message, please keep in mind that the recommended size for attachments is 3MB. Popular POP3 providers such as Gmail and Yahoo do not accept attachments over certain sizes; the size limit varies per provider.
Personal Distribution lists in MS Outlook
- Open Microsoft Outlook.
- Click on the Go menu at the top, then click on Contacts from the drop down list (or simply click on the Contacts tab).
- Click on the File menu, point to New and select Distribution List from the drop-down list.
- A box labeled Untitled - Distribution List will pop up. In the Name field, specify a name for the group that makes sense for your purposes.

- To add members of the UAB community to your list, click on the Select Members button under the Name field. Then you can select members from the UAB Address Book. Once you have selected all of the members, click OK to add them to the list.

- To add members outside of the UAB Directory, click on Add New and specify the name and email list of this member, then click OK.
- Once you are done adding members, click Save and Close.
- To use the distribution list when sending a message, click on the To button. In the Select Names popup box, you will select Contacts instead of Global Address Book from the Show Names from the drop down list, as shown below. Click to highlight your new distribution list, then click on the To button. For added privacy, you can click on the Bcc button instead. Then click OK to go back to your email message.
