How Do I Grant and Modify Outlook Delegate Access?

Grant a Delegate Access

  1. In Outlook, under the Tools menu, click Options.
  2. Click on the Delegates tab. Click Add.
  3. The Add Users window will appear. Browse through the address list to select a delegate. Click on a name. Click the Add button. Repeat the process until you have added all desired delegates.
  4. When finished, click OK.
  5. The Delegate Permissions window will appear. Using the drop-down windows, choose the levels of permission (Reviewer, Author, or Editor) for Calendar, Tasks, etc. Note: A delegate must have Editor permission in the Calendar or Tasks folder and Reviewer permission in your Inbox to accept meeting or task requests for you.
  6. In this window, you may also choose to automatically send a message to the delegate and/or allow the delegate to see your private items. Note: When you grant access to your folders, that delegate has access to the personal items in the folders unless you mark those items as Private. However, here you have the option of allowing access to private items as well.
  7. Click OK.
  8. Your new delegate(s) should now appear in the Options window. By clicking on a delegate's name, you may use the buttons on the right to Remove the delegate, edit his/her Permissions, or view the delegate's Properties.
  9. Also in the Options window, you may also choose to Send meeting requests and responses only to my delegates, not to me. Click the check-box to select this option. Note: If you select the Send meeting requests and responses only to my delegates, not to me, the delegate does not need Reviewer permission in the Inbox (as mentioned in #5); the meeting requests and responses go directly to the delegate's Inbox.
  10. Click OK to save your changes and exit Options.

    

View a Delegate's Information

  1. In Outlook, under the Tools menu, click Options.
  2. Click on the Delegates tab.
  3. Click the delegate whose information you wish to view, and click the Properties button. This will display all available directory information on that delegate.

 

Edit a Delegate's Permissions

  1. In Outlook, under the Tools menu, click Options.
  2. Click on the Delegates tab.
  3. Click the delegate whose permissions you wish to change, and click the Permissions button.
  4. The Delegate Permissions window will appear. Make your changes and click OK.
  5. In the Options window, click OK to complete the changes.

 

Remove a Delegate

  1. In Outlook, under the Tools menu, click Options.
  2. Click on the Delegates tab.
  3. Click the delegate you wish to remove, and click the Remove button. The delegate's name should disappear from the list.
  4. In the Options widow, click OK to finalize your changes
